Add-Ins (make Word work better)
(all FREE although donations welcome)

Note. All of these Add-Ins are Templates set for download in zip files. If you double-click on a template you will get a document, not the template. The template, itself, needs to be stored in your Word Startup Folder, to be used as an Add-In. The Add-Ins can be opened and read without activating the macros. In most cases, you can examine the vba code (macros) if you wish. Each download title acts as a hyperlink to begin the download. These Add-Ins are intended for use on Windows or Mac desktop versions of Word on a computer. They are not for the mobile or online versions of Word. They will not work on the Chromebook.

bullet

Download Random Text Add-InRandom Text Add-In for Ribbon Versions of Word - Adds icons on Quick Action Toolbar to run two variations on the Rand function to insert six paragraphs of random text. Contains macros.Created to help a poster on a Word forum. My personal recommendation is to, instead, learn the functions. The Add-In can help with that, too. See "The rand "virus": or how to insert dummy text into a document" by Suzanne Barnhill, MVP

This uses a custom dialog box to write the functions and use them to insert dummy text. User has option to get a message box showing the AutoCorrect function that is written. You can use Ctrl+Z to back up and see the function in the document. This will help you learn these AutoCorrect functions. Also can insert older "Quick Brown Fox" text.
It also has three QAT buttons, one for the userform and two for the other forms of random text. The Help button on the UserForm provides documentation.

This is version 20.14 and is a dotm file inside a zip folder. Updated 2 December 2020

bullet

MacroButton Prompt Add-In - Adds command and dialog to insert a MacroButton Prompt. In Ribbon versions of Word, the command is added to the QAT. In Word 2003, the command is added at the bottom of the Insert menu. Gives the user the dialog shown at right allowing entry of a MacroButton Prompt using colored text. The Add-In itself acts as a help file. In both versions the dialog can also be launched with the keyboard shortcut Ctrl+Alt+F4.

Contains .dot file for Word 2003 and .dotm file for Ribbon versions of Word and pdf versions of these files. This is Version 20.14. (2 December 2020)

This Add-In does NOT work in Word 97. Don't know about Word 2000-2002. It shouldn't hurt anything in Word 97, the code simply does not work.

Pop Up Text Add-In - Inserts pop-up text that appears on mouse-over in a word document.
The document where you are inserting the pop-up need have no macros and does not need the Add-In.
Version 23.05. Works in Word 2007 and later.
Shows shading on dialog box in response to checking option to shade display text in document.
It also selects all the text in either of the input text areas in the dialog upon going into them.
Updated 2 November 2023.
Add Pop Up Text Add-In dialog - shareware
Here is an example produced by the Add-In:
 Example of Pop-Up Text

This uses AutoTextList Fields rather than Hyperlink fields and allows up to 58 characters for the display text - the text in the document, and 255 characters in the balloon pop-up. This AutoTextList method is also discussed in this video: How to Create Text Pop-Ups in Microsoft Word

This is similar to the method using the HyperLink field except the result is slightly different.  See below.
The documentation in the Add-In discusses how to use either method without using the Add-In.

Click to download the Add-In that produced this code.BarCode Add-In for Word 2013 and later. I recommend using Graham Mayor's Add-In for QR, Code39, and Code 128 bar codes, instead of mine. He is a better programmer than I am. Mine inserts barcode for text using the DisplayBarCode field. His creates both the DisplayBarCode and the related MergeBarCode fields. Neither field displays a barcode in earlier versions of Word. This version of my Add-In inserts any of the ten types of bar codes recognized by the field. Field generated by this Add-In can be modified manually after generation to allow for more types of bar codes or different sizes. Bar codes generated using this can be saved as graphics using a screenshot. This is Version 21.15 updated on 14 September 2021. Produces all kinds of bar codes but focused on the QR Bar Code. Allow setting scale, rotation, and error correction switches for QR barcode. It is a .dotm file in a .zip file and contains macros as well as a QAT button to run the macros. Pdf of documentation text also included.

NOTE: I don't believe either of these fields can add a USPS-compliant barcode (Intelligent Mail) for envelopes. Using the old barcode field will slow down delivery of mail. You can download something from the USPS from here. I do not know how to use that software. The USPS barcode does not have an even bottom edge.

FileNew Classic Dialog for Word 2002-2024 - Adds a New File or Template Button on left end of Home Tab together with a keyboard shortcut. It Ribbon versions of Word, it also adds a QAT button or icon. This gives quick access to user and workgroup templates through the traditional tabbed FileNew dialog box. This is a .dot[x] file to add to the Word Startup folder. It contains no macros. It also puts the command on the QAT. There is a version without the Home Tab button as well. Windows version only.
   is used to display:

(Alternative methods - QAT button and Keyboard shortcut)

See File New Variations in the Versions of Word for information about the problems addressed by this Add-In. The Zip file contains a ReadMe file; each template is self-documenting.

This is Version 17.5 of this template package. All templates are macro-free.

This does not work in Mac versions of Word. I know of no way to have it work on mobile devices or the browser version.

In the .dot version for Word 2002-2003 this adds command to the File Menu and to the Standard Toolbar (as well as keyboard shortcut).

Easy New Document Template package (letterhead in headers) - This is a zip file with a set of templates. It is designed to make it easy to create a new document based on a template other than the normal template. The enclosed templates are designed to be used in versions Word 97-2024 (365) (and probably later). They are a basic letterhead with the letterhead in the first-page header and with a continuation header. Macro-free versions are enclosed as well. This does not change the default new document but rather gives an easy way to create a new document based on a particular template. For a method that changes the default template for new documents (without changing the normal template) see the Letterhead AddIns below.

bullet Letterhead AddIn(s) - Created to assist someone who mistakenly wanted to make the letterhead the normal template for all people in the company. Adding text to the normal template (including headers or footers or page numbers) is a very bad idea.

The zip file contains two versions. The first creates a new letter based on a letterhead template in the workgroup template folder when Word is opened. The second is a single template to go in the Word Startup Folder which acts as the template for letters. In either version the tempate becomes the default new document without replacing the normal template.

This is a variation of the EasyNewDocument Add-In. This Add-In changes the default template for new documents, without changing the normal template. Although the title is "Letterhead," it could be any document format. This includes documentation and instructions for modification. For Word 2007 and later only, although concept would work in earlier versions as well. Version 18.6 updated February 12, 2018.

bullet Letterhead system.  This is a system for self-updating letter forms. Letterhead System - click to download The idea is to have letterhead components stored in one location and have letter forms reference that location when used so that form letters will have the latest letterhead information. Adds these options to the Insert tab on the ribbon.- Last Updated 10 Nov 2017.

Examples:

Ms. X is  female, a woman. She is married, making her a wife. Her bicycle was a present from her parents. That is why people say the bicycle is hers.

Mr. X is male, a man. He is married, making him a husband. His bicycle was a present from his parents. That is why people say the bicycle is his.

The gender-specific words can be set/changed at the click of a button.
The fields can be inserted from the drop-down menu. Once fields have been inserted from the toolbar, the document with fields can be used by someone else who does not have the add-in by manually changing the document property. Otherwise, they retain their gender just as if they were ordinary text. Documentation is included.

Navigation and Styles Pane Settings - for Word 2010 and later. Navigation (and Styles) Pane Settings Dialog Box from Add-In
In Word 2016-21 Navigation Pane settings are not "sticky." The pane will be very large when initially shown.
In Word 2010-13, when Word starts, the Navigation Pane is displayed or not depending on the setting when it was last used.

Contains checkbox to display the Styles Pane and set width as well. Dialog box shown is what will display when Word is first opened after installation. File location is user setting. Can check box to hide for later. (Width setting for Styles Pane does not work on some recent versions.)

This zip file has an Add-In that gives the user control over both.  Version 23.22. The template is its own Read-Me file with documentation. This is not for Word 2007.

bullet DateLoader Add-In - In Word Alt+Shift+D inserts a Date field (4/15/2014) that updates every time you open or print a document. Most uses work better with a CreateDate field that gives you the current date when you insert it and remains that same date. When used in a template, it is updated when a new document is created. Also, people may prefer a long date rather than the short date. This Add-In substitutes a long format (April 15, 2021) CreateDate field. It also has instructions for changing the format and has several options. For details on datefields take a look at  Using Date Fields in Microsoft Word. bullet FileName and Path Keyboard Shortcut Add-In - This is a simple Add-In (.dot file) that lets a person insert the FileName and Path field in Word at the insertion point with the Keyboard shortcut Alt+Ctrl+Shift+F. Creating this path is very simple Insert > Field but the Add-In attaches a keyboard shortcut to a macro that does this directly.  Can be used in conjunction with the following macro-free Add-In for Supplemental Building Blocks. Works in Word 97-2024 (365). Version 18.3.

bullet Append Date to FileName Add-In - saving new documents
This Add-In is discussed in my article on the Microsoft Answer site: Automatically Adding Date to the FileName for New Documents - vba to to go into templates. If this is placed in the Word StartUp folder without modification any new documents created will have a proposed filename including the date in the format YYYY-MM-DD. Said proposed name will also include any text in the document’s Title Document Property.
It can be modified so that this only happens with documents created based on certain templates. Version 23.01

bullet Supplemental Building Blocks for Headers and Footers with Page X of Y Header/Footer and FileName Building Blocks for Word 2007-2024 (365) - Addin that can be placed in either the Word Startup Folder or the Building Blocks folder. Contains Header and Footer building blocks with the Page X of Y and FileName entries familiar to those who used Word 97-2003. This Add-In contains no macros. This contains Page Number entries for direct entry and Header and Footer Building Blocks. Version 2024.5. Can be used in conjunction with the FileName and Path Add-In which contains a macro to insert the filename at the insertion point. Now contains an AutoText version for use with the Mac.

bullet Table Cell Color Keyboard Shortcuts
This Add-in gives keyboard shortcuts to color table cells. Version 20.2 Word 2007-2024 (365)

bullet Toggle Toolbars Add-In for Word 2007-2024 (365) - A substitute for/supplement for AutoHide Ribbon.
This Add-In Assigns the Keyboard Shortcut Ctrl+; to the legacy command ToggleToolbars. In the Ribbon versions of Word this hides the Ribbon and QAT, the Status Bar, and panes like the Styles Pane and Navigation Pane. The rulers are still displayed. Unlike the AutoHidden Ribbon, this does not require the full screen and is not "sticky." It can be used in a normal window, it does not require full-screen.

bullet Outline Headings Global Stylesheet for Word 2002-2024 (365) - Version 23.14 2 Add-in to be used as a global stylesheet as described in  A Global StyleSheet in Microsoft Word? This imports the Body Text and all 9 heading styles from the global template. Has keyboard shortcut to do this as well as keyboard shortcuts for Heading Styles 4-9. Zip file with .dot and .dotm files. Use only one of the templates. Contains  macro to remove numbering from heading styles (written by Stefan Blom) as well as a toolbar in the .dot version and Ribbon buttons in the .dotm version. Also includes optional body text styles to match the indents of the headings.

Also includes three [Quick] Style Sets that may work for you instead of the Add-Ins. Those use three different numbering styles.

Also includes a separate sample macro holder that copies all styles in the template into the active document.

bullet Styles QAT Add-In - for Ribbon versions
Adds four Style controls to Quick Access Toolbar (QAT). The one on the left gives access to the Quick Styles Gallery from the Home tab. The text Drop-down is the legacy Styles drop-down from menu versions of Word. The third opens the Styles Pane giving access to other controls. The fourth one launches the Styles Organizer. The screenshots below show the Styles Gallery and the legacy Styles drop-down. This is version 20.04. Macro-free .dotx file in a zip folder.

bullet Animated Text Effects Font Sampler - Earlier versions of Word (97-2003) have animated font effects (Red Marching Ants, Sparkle Text, etc.) that are no longer available (probably because corporate folks found them too annoying). There are no font dialog controls for these in Word 2007 and the later ribbon versions of Word.

Text Animation dialog in Word 97 - screen shot Text effects dialog in Word 2003.

A macro can still insert such text or you can simply put text that already has the feature you want into your document and it will retain that character. (Such a macro written by Greg Maxey can be found here.) Text that has these effects applied keeps the effect when inserted or pasted into Word 2007-2010. You can then replace the pasted text with anything you want. (You can get rid of text effects in those versions by clearing font formatting (Ctrl+Spacebar)). The download has samples of all six text animation effects. You can copy text from it and then write your own text to suit or use it as an AutoText/Building Blocks Add-In. Word 2013/365 and later does not display these text effects, period.

The zip file contains a .doc file and a .dotx template. The template can be placed in the Word Startup Folder or in your Building Blocks folder to make it global. It contains AutoText entries but no macros. The names of the AutoText entries each begin with the letter "x" and are listed in the template. Current version is 4.14.

bullet Open Recent File QAT Modification for Word 2013-2024 - This file adds a button for the Open Recent File command to the QAT when placed in the Word Startup Folder. See page 2 of this thread on the Microsoft Answers Word forum. This Add-In was created using Word 2010, which gives access to this command in the Modify QAT dialog. Note, in Word 2013-2024 you can easily get to Recent Files (with or without this Add-In) using the Keyboard Shortcut Alt+F,R.
This .dotx form Add-In is without macros.

Also contains a separate .dotm Add-In that implements macros and a UserForm to display recent files. See Doug Robbins' answer in this forum thread. This has a different button on the QAT. These can work together; however, I can't think of a reason to use both. This is version 18.4 of this Add-In. Download Add-In latest version.

bullet Legacy Spell Check Dialog Add-In This Add-In uses a macro to intercept the new Editor when using the F7 key to check spelling, instead using the legacy spell-check dialog. See Classic Spell Check Dialog - Macro to use classic dialog rather than Editor  and Spell Check Dialog Instead of Editor for information about this. Download Add-In latest version.

bullet Blank Header/Footer Building Blocks Add-In for Word 2013 and later - I understand that the blank headers and footers have been removed from the Building Blocks Gallery in Word 2013. This is a .dotx file with blank headers and footers for those who care to use them. It would be placed in either the Word Startup Folder or in the Building Blocks folder. It adds a header and footer with a content control for typing (like Word 2010) as well as a truly empty header and footer to the choices available. Note, if you have a 2010 version of the Building Blocks file, you can use that as a global Add-In. I would recommend renaming, it, though.
Download Add-In latest version.

bullet Continuous Page Numbering Add-In  - In (32-bit versions of) Word 2007 or later, this adds a button (shown below-left) to the Header/Footer tools tab to reset any page numbers in a document to number continuously. (This is the default setting in Word so you shouldn't need this often.) Page numbering can get messed up in multiple-section documents and can be difficult to fix manually. This button triggers a macro to do it. The macro is based on one written by Jay Freedman. The macro is shown in the Add-In text and can be copied.

This does not add or change page number fields; it makes sure that the numbering does not restart anywhere in the document. After it is clicked, the user has a chance to cancel.

Once it has been run, the user can choose to restart page numbering in any section using the Format Page Numbers dialog.

Also contains a .dot file for earlier versions of Word. This has been tested in Word 2003, but does not work in Word 97. It may work in Word 2000 and 2002 but has not been tested. In menu versions, this add-in adds the button shown to the Header/Footer Toolbar (shown to the right).

bullet 2003 WordArt Add-In for Word 2010-2024(365) - In Word 2010 .docx formatted documents the legacy WordArt Dropdown gallery is not available and the items must be recreated via text effects or imported from a legacy document. This macro-free Add-In gives the users a custom AutoText gallery on the Quick Access Toolbar that allows use of the traditional choices as an addition to the WordArt directly available in Word 2010 - 2024 (365). 30 AutoText entries are in the Custom 4 gallery. (DOTM template in 299K zip file, contains gallery and QAT assignment, Version 22.08) Works in Word 2007-2024 (365) but not useful in Word 2007 because Word 2007 uses Word 2003's WordArt graphics engine.
For a discussion of alternatives, see this thread on the Microsoft Answers Forum. This also includes some simulations of classic WordArt done using the new graphics engine. See also this page on Word Art by Greg Maxey, MVP.

The screenshot above is from Word 2019. This is old software (2003) but it still work. I do not know of anything else available to copy keyboard shortcuts. Load as an Add-In by placing in the Word Startup Folder.  In Word 2007 and later, both the original and the modified version require that the Trust Center Settings be set to trust access to the vba project. This is not a usual setting.

Alignment Tabs in AutoText Add-In Use on Mac or Windows Versions of Word (Mac Version 2016 and later)

The control to insert such tabs is available in the Header/Footer tab of Windows versions of Word (beginning with Word 2007) but as of 2023, not available in the Mac. Alignment Tabs are set in relation to the Margins rather than tab settings in the Ruler. While these will Work in the Mac Ribbon versions, there are no controls to allow their insertion. This .dotx template has them in AutoText entries so they can be available in any template or document. These will work in the Windows version, but there is not a real need since they are already on the Header/Footer tab in the Windows versions.

The screenshot above shows how these adapt to changes from a Portrait to a Landscape orientation.
This is Version 23.1 and was created in response to this question on the Microsoft Answers site. It is both just the template and in a zip folder. (The Zip folder will likely be easier to download.)

Style Separator as AutoText Entry Add-In for Mac
This is a macro-free template that has the Style Separator character saved as an AutoText Entry. This character works on the Mac version but there is no method built into the Mac version to generate it. Prepared to assist in answering this question on the Microsoft Answers site. Version 24.02

bullet

Keyboard Shortcuts for "No Proofing" Formatting
This is a short Add-In that adds three keyboard shortcuts to run macros that change the "Do not check Spelling or Grammar" setting. One if to allow such checking in selected text, another for the entire document. Finally, there is a third that disables checking of spelling or grammar for selected text. (I think that a style is a better way to do this, though.) See this question on the Microsoft Answers forum for more information.

bullet Turn Off Display of Field Codes Automatically You can toggle display of Field codes (so you do not see Field results) in a document to edit fields. In the Windows version you can do this with the keyboard shortcut of Alt+F9. On Mac versions, the shortcut is Opt+F9.
If you are seeing things like { PAGE } or { DATE } in your document, your display has been toggled to show the codes rather than the results. Pressing the shortcut again gives you the field results back (toggles the display). I have a very short attention span and forget to toggle back.
I find it annoying and created this little Add-In to help with this.
It automatically turns off display of field codes whenever a document is opened or created.

bullet FileNewDialog Add-In - In Word 2003, the File > New command brings up a task pane which the people at Microsoft thought helpful, instead of the Dialog box that lists the available templates. This Add-In returns the old File > New command (as File > New (dialog)) and changes the built-in command to File > New (task pane). No macros or code. (template in 6K zip folder, Version 2004.01)

bullet FormatStylesDialog Add-In - In Word 2003, the Format > Styles and Formatting... command brings up a task pane which the people at Microsoft thought helpful, instead of the Dialog box that lists the available templates. bullet Text Boundaries Template for Word 2013 and later Word 2013 changed the text rendering engine in Word so that "text boundaries" are around individual paragraphs rather than displaying the page margins. Many people prefer the old method. This is a zip file containing two letter-size macro- and text-free templates and a read-me document. Documents created using one template will display text boundaries like they were displayed in Word 2003-2010, they will be in compatibility mode. This compatibility mode method does not work in Word 2019-2024/365. Documents created using the second template will display with a pseudo text boundary that is actually a page border set to be one point from text. Those documents will not be in compatibility mode. This is a work-around, not a solution, but may be helpful. See the Read Me file for directions. Version 15.3. For more on the problem this addresses, see Text Boundaries Display in Microsoft Word.

** Note about Bug in Word 2013 that may cause problems with some Add-Ins. Using Word 2013/365, if an Add-In (such as the Macrobutton Prompt Add-In) displays and then hides field codes in a multi-page document, it will cause new documents created after use of the Add-In to open zoomed to 10%. This can be corrected with the zoom screen controls in Print View. In the MacroButtonPrompt Add-In there is a Word 2013 version that incorporates a workaround until such time (if ever) that this bug is fixed. This bug is discussed in Word Answers in this thread.
